How do I get a meeting with a pension fund CIO?

Short answer

A pension fund CIO rarely decides alone. Pension funds often decide by committee, and many work with an institutional investment consultant. So I would aim to get on the good list of those consultants, write short and useful emails, and make sure your fund is big enough to be considered. A cold call straight to the CIO is the weak route.

The CIO is one voice in a group decision

Most managers picture one person with a checkbook. That is not how pension funds work. With endowments and pension funds, you are sometimes dealing with a committee decision. Several people need to buy in.

Many of these funds also use an institutional investment consultant. Sometimes the consultant has a discretionary mandate and makes the decisions. Other times the mandate is non-discretionary and the consultant gives opinions while the fund makes the final call. Either way, the consultant matters a lot.

"Either way, you want to get on the good list of these institutional investment consultants, and they can be a great ally of yours if you win one over on working with you long term."

Check your size before you chase the meeting

In my experience, you generally need to be a fairly large fund to attract a pension fund. If your fund is small, a meeting with a CIO may not go anywhere, even if you get it. Many managers are better served building a track record and starting with family offices first.

I would not guess here. Ask the consultant or the fund what size and track record they look at before you invest time.

Make the first email easy to answer

A CIO has hundreds of emails coming in. They never signed up to hear from you, and you do not have them on retainer to reply. It is on you to earn the reply.

"It's on you to write something interesting enough that they care to reply."

At Family Office Club we see this all the time. People buy a list of investors, email 42 of them and get no replies. We do not own those investors and we cannot require them to answer. So add value first and be clear about why you are worth a response.

Here I talk about what being institutional quality means, from flexible terms to standing out in a crowded inbox.

Behave the way an institution expects

Institutional quality means being agile, open and politely persistent. It also means having flexible terms. Institutional investors often like some flexibility, so be ready to discuss different terms and not just offer one structure on a take it or leave it basis.

Be reachable as well. Many people do not listen to voicemail. As a broker dealer, we do not text, so if you want to talk to us you need to answer your voicemail or your email.

Many managers talk to a securities attorney about how they contact and present to institutions.

From my books and event talks

One practical point is to match your words to the audience. If you are going to a pension fund, you will use different language than you would with a high net worth individual you met at the golf club. Pension fund people expect institutional wording, process and risk controls. I also would not wait for a long track record before you start talking to capital. If you wait until you have a long track record, you may not have learned anything about raising money yet. Start the conversations early, learn what they ask, and tighten your story.

"If you're going to a pension fund, you're going to use different words than going to a high net worth individual who's worth five million dollars that you met at the golf club."

From a Family Office Club event talk

"Some people think, especially in the fund management industry, and the hedge fund space needs to hear this all the time, that if you build the track record, the investors will come. That's not true either, because if you don't try raising capital until you have a long track record, you're not going to have learned anything yet."

People also ask

Should I go to the consultant or the CIO first?

I would not skip the consultant. Many pension funds use one, and some consultants make the decisions directly. Getting on their good list can open more doors than a cold email to the CIO.

Why do pension fund meetings take so long?

You are often dealing with a committee and sometimes a consultant. Multiple people need to buy in, so the process has more steps than a single decision maker.

Can I text a CIO to get a meeting?

As a broker dealer, we do not text, so we ask people to use voicemail or email. Many managers talk to a securities attorney about their own outreach.
